The role

We are looking for an experienced and enthusiastic candidate with a background in accounts and administrative work to provide full time support to our Accounts Manager. Knowledge of VAT regulations and working in various currencies is essential. Previous experience in the publishing or media industry specifically would be an advantage but is not essential. Knowledge of our industry specific software (Bradbury Phillips) would be preferable, though full training will be given for the right candidate. Any previous experience in HR would be advantageous.

This role will primarily focus on Client Accounts – allocating income accurately and swiftly to our clients and dealing with their queries courteously, as well as supporting colleagues throughout our agency with all accounts related matters. There may be scope for the role to develop further to include general office accounts administration and payroll. We are an expanding company continually striving to provide an excellent service for all our clients and an excellent work environment for our growing team.


Job Specification

• Accurately transferring information from our multi-currency bank accounts to Bradbury Phillips software daily and liaising with the Agents for their approval of this income

• Processing the client payrun on a weekly basis and dealing with client queries on Bradbury Phillips • Processing large amounts of royalty payments swiftly and accurately

• Updating agency database Bradbury Phillips and supporting Agent’s Assistants in this area

• Generating VAT invoices and chasing payments for VAT invoices

• Completing weekly bank reconciliations for Sterling, Euro, and Dollar accounts

• Managing incoming emails to accounts team

• Accurate filing of all accounts paperwork to our database and paper filing

• Generating ideas to support the Accounts Manager with projects relating to the continual improvement of our office environment and processes, including sustainability. 


Experience & Skills:

• Excellent numeracy skills and an interest in accounts and accounting

• Book-keeping skills, ideally within publishing or the media

• An exacting attention to detail and skilled at managing several tasks at once

• Confident and clear communication skills

• Strong problem-solving skills and the ability to work well under pressure

• A willingness to process large amounts of repetitive data entry work quickly and accurately during our busy bi-annual royalty periods (April and September)

• An enthusiasm for collaborative work but also the ability to be self-motivated and work independently without direct task supervision (you will be working unsupervised at least one day a week)

• A good working knowledge of Microsoft Office programs (including Outlook, Word, Excel)

• Discretion and the ability to maintain confidentiality
